How to record a Zoom meeting
The recording itself takes one click. The parts that catch people out are permission, where the file goes afterwards, and the fact that an hour of meeting is far too large to email.
Recording a conversation without telling the other participants is unlawful in many places, and the rules differ by country and sometimes by state. Zoom announces recordings for a reason. Say so out loud as well.
Starting the recording
As the host, the Record button sits in the meeting toolbar along the bottom of the window. Clicking it starts a local recording and shows everyone a recording indicator.
If you are not the host, the button will not be there until the host grants permission. They can do that from the participants list during the call, and there is no way around it from your side.
There are two destinations. Local recording saves to your own computer and is available on the desktop application. Cloud recording stores the file on Zoom's servers and requires a paid plan — its advantage is a shareable link and automatic transcription, its disadvantage is that the recording sits with a third party.
When the record button is missing
Three reasons account for nearly all cases.
You are not the host and have not been given permission. Ask during the call — it takes the host two clicks.
You are joining from a browser rather than the desktop application. The web client is more limited and local recording is among the things it does not offer.
Your organisation has disabled recording at the account level. If Zoom is provided by an employer or a school, an administrator may have turned it off entirely, and nothing on your end will change that.
Where the file ends up
Local recordings are converted when the meeting ends, which is why a progress window appears at that point. Closing your laptop or force-quitting before it finishes can leave the recording unusable, so let it complete.
The default location is a Zoom folder inside Documents in your user profile, organised by date and meeting. You get an MP4 of the video and usually a separate audio file alongside it.
If a recording seems to have vanished, that folder is the first place to look — and check the drive has free space, since a full disk causes the conversion to fail quietly.
The size problem, which is the real one
An hour of recorded meeting typically produces something in the region of several hundred megabytes to a couple of gigabytes, depending on resolution and how much movement there was. That exceeds every email server in common use and most chat platforms.
Meetings compress exceptionally well, better than almost any other footage. Talking heads and shared slides mean most of the frame is static most of the time, and static areas cost a compressor next to nothing.
For getting the whole recording under an attachment limit, use the video compressor.
If only one section matters, trimming beats compressing every time — start with the video trimmer.
For a slide-heavy recording, dropping from 1080p to 720p saves a great deal and costs almost nothing legible with change resolution.
All of these run inside the browser, which matters more here than usual: a recorded meeting frequently contains things that should not be handed to a third-party server just to be made smaller.
When you only need the audio
For a meeting you intend to reference rather than rewatch, the video is dead weight. An hour of speech as an MP3 is around 30 megabytes at a bitrate that is entirely transparent for voice.
Pull the soundtrack out and discard the picture with the audio extractor.
This is also the format most transcription services expect, so it is usually the right first step if the recording is destined for a written record rather than a rewatch.
A few practical habits
Record locally rather than to the cloud when the content is sensitive. It keeps the file under your control and avoids a copy living on Zoom's infrastructure under a retention policy you did not write.
Check free disk space before a long call. Local recording writes continuously, and running out mid-meeting produces a partial file that may not convert.
Say that you are recording, even though Zoom announces it. Beyond the legal aspect, people speak differently when they know, and finding out afterwards damages trust in a way no notification prevents.
